NOTE TO MEMBERS CONCERNING YEAR END MEETINGS.

April 1, 2020.  Notice to OKWOCPINC members:
·        The email/mail vote to accept the 2020-2021 OKWOCPINC Officers passed with the required ½ of voting members quorum.

·        The email/mail vote to increase the OKWOCPINC dues from $5 to $10 also passed.

·        Lois has created an “In Lieu of Board Meeting” document to meet our by-laws requirement of an Annual Meeting.   The vote for the officers will be in the minutes for the Annual Meeting.

·        Lois has created an “In Lieu of Quarterly Board Meeting” document to meet the requirement for my first quarterly meeting.  In the minutes for this meeting will be recorded the vote to increase the dues.

·        The above actions will allow us to meet in September with all business taken care of.  We will plan to hold the September meeting unless authorities extend the social distancing restrictions.

·        The document concerning the Annual Meeting will allow Sharan Amend, our new treasurer, to collect dues from April 1 to May 1.   Please be prompt in getting the dues from you members to Sharan.  I know all this will need to be done by mail due to the restrictions on public gatherings.

·        Dues are:  $40 WOCP; $10 OKWOCPINC; + Individual Club Dues.  The 2019-2020 club treasurers are responsible to update contact information, collect dues from their members, and sending monies collected to Sharan Amend the 2020-2021 OKWOCPINC Treasurer at 4213 NW 146 Terrance, OKC, Oklahoma 73134.  This should be done by May 1, 2020.

**Ann Barton will be mailing the packets to club treasurers to update contact information and send to Sharan Amend with dues.  Please make sure contact information is updated.

·        All our business should be conducted by mail or telephone since we are under a “Shelter at Home” order in the state of Oklahoma.

Note:  A sincere “THANK YOU” to Lois Higgins for creating the legal documents we needed to conclude our business for 2019-2020.  Her experience in the legal field has been invaluable in following our by-laws while honoring the social distancing required to fight the spread of the CORVID-19 virus.

March 15, 2020 Update from Peggy Adams--Cancellation of 2020 WOCP Multi-State in Springfield, Missouri

Note from Peggy:

Cancellation
Peggy Adams
8:05 PM (17 minutes ago)

It has become necessary to cancel the Multi-State Show in April.  The CDC is now recommending no gatherings of more than 50 persons for the next 8 weeks.  We regret the inconvenience this causes many of you, but we must do what is best for all concerned.  And, unfortunately, it is not feasible to reschedule since we don't know if the 8 week restriction will be extended, and we would be getting into vacation months.  We also regret the loss of revenue for the hotel and convention center whose staff has been so great to work with.  And they are graciously waiving the cancellation fees.  Don't forget to cancel your reservations, and please remember them when you are visiting in Springfield.  It's just 30 minutes from Branson, and they have great places to visit as well.
Lorraine Brant will be working on sending refunds to all who have registered and all vendors.  Please be patient as she will need to replenish her supply of checks.
I will be in touch with the Presidents of the other states to finalize details.  It has been a pleasure working with everyone from all four states, and I'm looking forward to the show in Oklahoma as well as the World Show in Denver in 2021.  I'm sure you will all be as supportive as you have been to us.
A personal note to Missouri members:  I have just received word that Jan Wommack, a member of Brush Buddies, passed away.  She will be missed.
VENDORS:  Please send me a reply so I know you got this message!
Thank you all for your support as we wrestled with this decision.

UPDATE FROM PEGGY ADAMS   MARCH 14, 2020

We are receiving just a few cancellations and I heard in a news conference this morning that the government may be restricting domestic travel.  If the number of cancellations increases significantly or if the domestic travel is restricted, we will be forced to cancel.

If we are able to have the show, I want to assure everyone we are working with the hotel to institute practices which comply with social distancing;  setting chairs 3 feet apart in demos, seating 8 per table at banquet events instead of 10, having a person at the head of a buffet line who applies hand sanitizer to each person, etc.  We are exploring ideas to minimize person to person hand contact.  In short, things which I hope we are all doing on our own to comply with CDC suggested practices for controlling the spread of the virus.
I'm monitoring the day-to-day developments and will let you know immediately if any plans change.  Thank you all for your patience.
Peggy

MARCH 13, 2020 UPDATE ON SPRINGFIELD, MISSOURI MULTI-STATE FROM PEGGY ADAMS

Peggy Adams11:15 AM (6 hours ago)

We are proceeding with plans for the Multi-State Show in April.  I have talked to many who are planning to come, and we have had only one cancellation so far.
I need to inform you that there has been one confirmed case of the coronavirus in Springfield.  If anyone feels uncomfortable coming, we will gladly refund your money, but please let us know ASAP.  And we will stress, IF YOU ARE SICK WE EXPECT YOU TO STAY HOME and your money will be refunded.  If it becomes necessary to cancel the show because things change, we will notify you immediately.
Thank you to the many who have reassured me that you still plan to come.  We look forward to seeing you!

NOTE FROM PEGGY ADAMS CONCERNING 2020 MULTI-STATE IN SPRINGFIELD, MISSOURI

Peggy AdamsThu, Mar 12, 4:01 PM

We fully expect to have the Multi-State convention at the scheduled time!  We will be sending messages to all those registered informing them that we expect anyone who is sick to stay home and we will gladly refund their money.  I have talked to the hotel and am forwarding the message received from them concerning their diligence in providing a clean and sanitary environment.
Things are coming together nicely and I'm looking forward to a wonderful show and appreciate everyone's cooperation in making it a safe environment.  Please relay this information to any of your members who have concerns.  Feel free to contact me if you have any questions.
Thanks, Peggy

Peggy, We are absolutely thrilled by your commitment and resilience to your members to continue to provide them with a community and space to gather. Thank you so much for your communication with us during this human crisis as we, at the Oasis Hotel, are taking every effort and extensive measures to up our standard of sanitation and cleanliness.
Below is a response statement from our General Manager, Missy Handyside.

Feel free to share with your members: “We certainly understand the concern with holding such a large gathering with the recent news of the coronavirus pandemic.
While we are taking precautions at the Oasis Hotel & Convention Center to hopefully eliminate any risks, unfortunately we cannot guarantee that one of our many guests do not carry the virus onto our premises.

Please be assured that our housekeeping and food service staff are being extremely diligent with following the CDC’s recommended procedures for our type of facility. –

NOTE FROM JODY COOK ABOUT JANUARY 18, OKWOCPINC BOARD MEETING.
Hello everyone,
I hope that you have had a happy and healthy holiday season.  I just wanted to remind you that our January Board meeting will be Saturday, January 18 at the WOCP China Painting museum.  We will have coffee and donuts at 9:30am and our business meeting will start promptly at 10am.  We have a lot of things to discuss since this will be our last meeting before convention in April, so I hope you can be there.  It looks like the weather will be nice, so I will keep my fingers crossed—but this is Oklahoma—LOL!

Some things that we will be discussing will be centerpieces for the convention—I hope that we will have a good representation from the Oklahoma members.  These will be auctioned off during the Friday night banquet.  I know how talented you all are, so let me know if you can help.  There are no restrictions on type of piece or subject matter, and it doesn’t have to have been painted recently.

Also, don’t forget if you purchased a mug during the September board meeting to  enter in the painted mug contest,  to bring it to the meeting.  People will  be voting on them by buying tickets for $1 each.  The winner will receive ½ the voting money for their mug, so be prepared to vote for your favorite.

For lunch we are having a chili cook-off.  Each club is encouraged to bring their favorite chili or soup.  If you have more than one favorite, that is OK, the more the merrier.  You will receive one ticket with your $7 lunch purchase, to vote on your favorite, but extra tickets can be purchased as well. A prize will be awarded to the club with the most votes for their chili or soup.  China Dolls will provide the drinks, crackers, chili toppings, and dessert.

I have also attached the information for the Pauline Salyer award.  If you know of someone that should be considered as a recipient, please make sure their name gets turned in and the paperwork filled out.

We will again have our estate sale with the proceeds going to help benefit the OKWOCP.

If you have something you would like discussed to be put on the agenda, please let me know as soon as possioble before the meeting.  I have also attached information for the convention.

If you have any questions feel free to contact me.  See you on the 18,

Jody Cook—OKWOCP President

Hello,  I rearranged the Special Exhibit at the museum today and attached new tags.  Below are two photos and the list of artists on display until the end of June.  Artists can still add an artist statement.  A half page narrow would probably best fit the space between most paintings.
You are encouraged to use the photos to post on Facebook.  Remember the Open House is this Wed Mar 21 from 6pm to 8pm with tours at 6:30, 7, and 7:30 pm.  Thanks to those who shared their art for this and the previous exhibits.  Susan Schmidt

Invitation to Hang Your Art
Porcelain Art Museum’s Special Exhibition Area
By Museum Promotions Chair Susan Schmidt

The Porcelain Art Museum launched  a new special exhibition display area in early 2018. It will feature creations by porcelain and other media artists in order to call greater attention to the museum by encouraging the artists’ friends and family to see their work.

Currently WOCP members and past members including Sharan Amend, Thelma Ingram, Fillis Jackson, Anita Kantowski, Phyllis Knighton, Deby Laverantz, Nancy Lepak, Joan Newman, Ruthanne Reitz, Susan Schmidt, Sharon Schultz, Barbara Ramsey Snow, Bernetta Stewart, Ann Truscott, Della Truel, Shirley Weston, and Paula White have their creations on display through June.   July thru September will feature a variety of mediums by Mid-Del Art Guild members.

This special exhibition area offers a great opportunity for artists, especially those not plugged into other organizational venues to have a place besides the state fairs to exhibit their work.  The special exhibition space is configured in a “U” shape with walls on the west and east sides requiring framed pieces with wire to hang from hooks (hooks are provided).  The three cabinets on the north side will accommodate 3-dementional pieces and tiles on stands.  The cabinets are about 30 inches wide, 9 inches deep and have about 6 shelves.  The east wall has a hanging space about 4 foot high by 15 foot wide.  About 25 small paintings can hang on the east wall.  At this time the museum will not sell artists work.  There are two 8.5 by 11 inch plastic display hangers where the organization, or artist(s) can provide their name, background information, and contact info for potential buyers with wording such as “Persons interested in purchasing art should contact the artist directly.”

Out-of-state artists are welcome if they have a way to deliver, set-up, and take-down their pieces.  Set-up and take-down should be scheduled during regular museum hours.  Typically exhibits will hang for two months.  To accommodate a larger number of artists, I am scheduling three areas separately.  Clubs and individuals may reserve space.

Among the planned exhibits include fair winners.  Best of show, first and second place ribbon winners from the Oklahoma City and Tulsa fairs will be displayed in October & November for OKC and December & January for Tulsa.  Be sure to give your winning pieces with ribbons to Fillis Jackson (OKC) and Marilyn Miller (Tulsa) for display.

To add to the buzz and build camaraderie among artists and patrons, we hope to have an open house/reception with snacks approximately every two months, generally on the second Monday of the exhibit from 4 to 7 pm.  The exception is the Friday, July 13 reception 4 to 7 pm.  The artists will generally provide the snacks, set-up and clean-up.  Finger food usually; no wine.   The public may be invited as well.
We all want to grow WOCP.  This is an opportunity for all to participate and generate interest in both the museum and joining WOCP.  Call me, Susan Schmidt, at home, 405-947-2061, to see what space is available and to sign up.
